Build your customer database for repeat business and efficient service.
Ways to Add Customers
From Customers Page:
- Go to Customers in the sidebar
- Click Add Customer
- Fill in contact information
- Click Save
While Creating an Estimate:
- Click the customer dropdown
- Type a name - if no match, click "Create New"
- Enter minimal info (name + phone or email)
- Customer is created and selected
From Import:
- Go to Customers → Import
- Upload CSV with customer data
- Map columns and import
Customer Information Fields
Contact Info:
- First and last name (required)
- Phone number(s) - can have multiple (home, mobile, work)
- Email address
- Preferred contact method
Service Address:
- Street address
- City, State, ZIP
- Service notes (e.g., "gate code 1234", "dog in yard")
Billing Address:
- Same as service (default) or different
- Use different for property managers, landlords, etc.
Customer Profile Contains
Once created, a customer record includes:
- Contact Info - What you entered
- Estimates - All proposals sent to this customer
- Jobs - All scheduled and completed work
- Invoices - Billing history
- Equipment - Installed systems you service
- Notes - Internal notes (customer doesn't see)
- Activity Log - Timeline of all interactions
Tags & Organization
Use tags to segment customers:
- Service type: "HVAC", "Plumbing", "Both"
- Customer type: "Residential", "Commercial"
- Status: "VIP", "Service Agreement", "New Lead"
- Source: "Referral", "Website", "Google"
Tags are useful for filtering and marketing.
Duplicate Detection
HeyJack checks for duplicates when adding customers:
- Matching phone number → "Did you mean [existing customer]?"
- Matching email → Shows existing record
- Similar name at same address → Warning shown
You can merge duplicates from the customer profile.
Customer Notes Best Practices
Add notes that help with future service:
- Access info: "Use side gate, key under mat"
- Billing preferences: "Bill husband at work email"
- Service preferences: "Prefers morning appointments"
- Warnings: "Aggressive dog - call before arriving"
Notes are visible to technicians in the mobile app.
