Assigning Technicians

Learn the scheduling workflow and how to manage technician assignments.

Dispatch Board vs. Calendar View

Dispatch Board:

  • Shows today (or selected day) in columns by technician
  • Best for same-day dispatching and monitoring
  • See who's available right now
  • Real-time status updates

Calendar View:

  • Week or month view across all technicians
  • Best for planning ahead and seeing workload
  • Spot gaps in schedule
  • View time-off requests

Assigning Jobs

From Dispatch Board:

  1. Click an unassigned job from the left panel
  2. Drag to a technician's column at the desired time
  3. Or click the job → "Assign" → select technician

From Job Detail:

  1. Open the job
  2. Click the "Technician" field
  3. Select from dropdown (shows availability)
  4. Set date and time window

Checking Availability

HeyJack shows several availability indicators:

  • Green - Available, no conflicts
  • Yellow - Has jobs but time available
  • Red - Fully booked or time-off
  • Gray - Outside working hours

Hover over a technician to see their day's jobs and travel time between.

Technician Skills & Certifications

Match technicians to jobs by:

  • Setting skills in their profile (e.g., "HVAC Install", "Plumbing")
  • Tagging jobs by skill required
  • HeyJack warns if you assign a tech without the required skill

Assignment Notifications

When you assign a job, the technician receives:

  • Push notification - "New job assigned for [date]"
  • Email - Full job details, customer info, address
  • Mobile app - Job appears in their schedule

They can see all job details including prior notes, equipment, and photos.

Reassigning & Rescheduling

Same day reassign:

  • Drag job to different technician
  • Both techs notified of the change
  • Customer not notified (unless you choose)

Reschedule to different day:

  • Click job → "Reschedule" → pick new date
  • Option to notify customer of change
  • Original date is logged in job history

Unassigned Jobs Queue

Jobs without a technician appear in the "Unassigned" queue:

  • Sorted by date (soonest first)
  • Shows days until scheduled date
  • Red alert for jobs scheduled tomorrow without assignment
