Understand how notifications work and customize them for your workflow.
Notification Channels
HeyJack can notify you through multiple channels:
- In-App - Bell icon in the header, always on
- Email - Sent to your account email
- Push - Mobile device notifications (requires mobile app)
- SMS - Text messages for critical alerts (optional)
Notification Events
Estimates & Proposals:
- Proposal Sent - Confirmation when send completes
- Proposal Viewed - Customer opened the link (includes timestamp)
- Proposal Accepted - Customer signed and/or paid deposit
- Proposal Declined - Customer explicitly declined
- Proposal Expired - Validity period ended without response
Payments:
- Payment Received - Any payment processed
- Payment Failed - Card declined or ACH returned
- Payout Sent - Money deposited to your bank
Jobs & Scheduling:
- Job Assigned - You were assigned to a job (tech role)
- Job Rescheduled - Date/time changed
- Job Completed - Technician marked job done
Tasks & Reminders:
- Task Due Today - Morning digest of due tasks
- Task Overdue - Missed task deadline
- Task Assigned - Someone assigned you a task
How "Proposal Viewed" Works
When a customer opens their proposal link:
- HeyJack records the view with timestamp and device type
- If notifications are enabled, you're notified immediately
- The estimate status changes from "Sent" to "Viewed"
- Time-on-page is tracked (you can see if they scrolled through)
Note: Email open tracking only works if images are enabled in the customer's email client.
Configuring Per-User Preferences
Each team member can set their own preferences:
- Click your avatar → Settings
- Go to Notifications tab
- Toggle each event type per channel
Owners can set company-wide defaults that apply to new team members.
Quiet Hours
Don't want notifications at night? Set quiet hours:
- Push and SMS are silenced during quiet hours
- Emails are still sent but may queue
- In-app notifications still accumulate
- Default: 9 PM - 7 AM in your timezone
Notification Digest
Instead of individual emails, you can receive a daily digest:
- Morning digest at 7 AM with yesterday's activity
- Includes: proposals viewed, payments received, tasks due
- Reduces inbox noise while keeping you informed
