Understand user roles, permissions, and how to manage your team.
User Roles Explained
Owner:
- Full access to all features
- Can manage billing and subscription
- Can delete the account
- Can assign/remove other owners
- Only owners can access Settings → Billing
Manager:
- Can create, edit, and send estimates
- Can manage customers and jobs
- Can view all team members' work
- Can invite and manage Technicians
- Cannot access billing or delete account
Technician:
- Can only see jobs assigned to them
- Can update job status and add notes
- Can view customer contact info for their jobs
- Cannot create estimates or see pricing
- Cannot view other team members' schedules

Inviting Team Members
- Go to Settings → Team
- Click "Invite User"
- Enter their email and select role
- Optionally set their default schedule (for technicians)
- They receive an email with a link to set their password
Invitations expire after 7 days. You can resend if needed.
Deactivating vs. Deleting Users
Deactivate:
- User can no longer log in
- Their data and history are preserved
- Jobs assigned to them remain
- Can be reactivated later
Delete:
- User is permanently removed
- Jobs are reassigned to "Unassigned"
- Activity history shows "[Deleted User]"
- Cannot be undone
User Limits by Plan
- Starter - 1 user (owner only)
- Professional - Up to 5 users
- Enterprise - Unlimited users
Deactivated users don't count toward your limit.
