User Management

Understand user roles, permissions, and how to manage your team.

User Roles Explained

Owner:

  • Full access to all features
  • Can manage billing and subscription
  • Can delete the account
  • Can assign/remove other owners
  • Only owners can access Settings → Billing

Manager:

  • Can create, edit, and send estimates
  • Can manage customers and jobs
  • Can view all team members' work
  • Can invite and manage Technicians
  • Cannot access billing or delete account

Technician:

  • Can only see jobs assigned to them
  • Can update job status and add notes
  • Can view customer contact info for their jobs
  • Cannot create estimates or see pricing
  • Cannot view other team members' schedules

Inviting Team Members

  1. Go to Settings → Team
  2. Click "Invite User"
  3. Enter their email and select role
  4. Optionally set their default schedule (for technicians)
  5. They receive an email with a link to set their password

Invitations expire after 7 days. You can resend if needed.

Deactivating vs. Deleting Users

Deactivate:

  • User can no longer log in
  • Their data and history are preserved
  • Jobs assigned to them remain
  • Can be reactivated later

Delete:

  • User is permanently removed
  • Jobs are reassigned to "Unassigned"
  • Activity history shows "[Deleted User]"
  • Cannot be undone

User Limits by Plan

  • Starter - 1 user (owner only)
  • Professional - Up to 5 users
  • Enterprise - Unlimited users

Deactivated users don't count toward your limit.
