Using AI to Generate Estimates

Learn how the AI estimate generator works and how to get the best results.

What the AI Does

When you describe a job, HeyJack's AI:

  1. Analyzes your description for equipment, work type, and conditions
  2. Matches against your pricebook for relevant items
  3. Calculates appropriate quantities based on the job
  4. Suggests additional items you might need (accessories, materials)
  5. Generates a complete line item list

The AI uses your pricebook, so prices reflect your actual rates.

AI vs. Your Pricebook

Important: The AI only suggests items that exist in your pricebook, or creates custom items if needed. To get the best AI results:

  • Keep your pricebook complete with common items
  • Use clear, consistent item names
  • Include item descriptions (the AI reads them)

Writing Effective Descriptions

Include:

  • Equipment type and size ("3-ton split system", "50-gallon tank")
  • Brand if relevant ("Carrier", "Rheem")
  • Work type ("replace", "install new", "repair", "add")
  • Location details ("attic install", "basement", "crawl space")
  • Special conditions ("permit required", "weekend work")

Skip:

  • Customer name (already attached)
  • Pricing expectations (AI uses your pricebook)
  • Scheduling details (handled separately)

Example Prompts

Simple:

"Replace water heater, 50 gallon gas, same location"

Detailed:

"Install new Carrier 3-ton 16 SEER AC and 80k BTU furnace, existing ductwork okay, unit in attic, permit included"

Complex:

"Full HVAC replacement: remove old R-22 system, install Goodman 2.5 ton heat pump with air handler, new linesets needed, existing ductwork, add smart thermostat, permit and inspection"

Auto-Generated Parts List

The AI also generates a parts list for ordering:

  • Main equipment from the estimate
  • Required accessories (line sets, refrigerant, etc.)
  • Suggested quantities based on job
  • Access from estimate detail page under "Parts"

This saves you 20+ minutes of figuring out what you need to order.

AI Confidence Levels

The AI shows confidence for each item:

  • High - Item clearly matches your description
  • Medium - Likely needed but verify
  • Suggestion - You might want to add this

Always review "Medium" and "Suggestion" items before sending.

Teaching the AI

The AI learns from your edits:

  • If you always add item X after item Y, it will start suggesting it
  • If you always remove certain items, it will stop suggesting them
  • Your adjustment patterns improve future estimates
